What this website collects, why, and how long we keep it.

Who we are
NipponRoute Logistics K.K., Minato Mirai 2-2-1, Nishi-ku, Yokohama, Kanagawa 220-8114, Japan, is the data controller for information submitted through this website. Write to nipponroute@gmail.com with any question about this policy.
What we collect
We only collect what you type into a form. That means:
- Quote requests: your name, email address, company name, and the shipment details you describe. We record the IP address the request came from as a spam control.
- Contact messages: your name, email address, subject and message, plus the IP address.
- Newsletter: your email address only.
- Tracking lookups: the tracking number you enter. We do not link it to you.
This website does not use advertising cookies, analytics cookies or third-party trackers. The only cookie set is a session cookie, and only for staff signing in to the administration area.
Why we hold it
To answer you. A quote request cannot be quoted without the shipment details, and a message cannot be replied to without a reply address. Where you have asked for the newsletter, we hold your address on the basis of your consent until you ask us to remove it.
Who sees it
NipponRoute staff handling your enquiry. We do not sell, rent or share enquiry data with third parties for marketing. Where a shipment requires it, we pass the details necessary for carriage and customs clearance to carriers, customs authorities and destination agents — that is the service you are asking us to perform.
Third-party services on this site
Map tiles are served by OpenStreetMap, and web fonts by Google Fonts. Loading them means your browser makes a request to those providers, which will see your IP address. Neither is used to profile you by us.
How long we keep it
Quote requests and contact messages are kept for three years so we have a record of what was agreed. Shipment records are kept for seven years, which is the retention period Japanese customs and tax rules require of us. Newsletter subscriptions are kept until you unsubscribe.
Your rights
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it where we are not required to keep it. Email nipponroute@gmail.com and we will respond within thirty days. Where the request concerns records we must retain for customs or tax purposes, we will explain which records those are and why.
Security
The site is served over HTTPS. Enquiry data is stored on our hosting provider's servers, access to the administration area requires a password, and sign-in attempts are rate-limited.
Changes
If we change this policy we will update the date at the top of this page.
